The Problem

Hymmen is a leading manufacturer of custom industrial machinery, specializing in wood-based panel and surface technology. The company pursues a consistent service-first strategy, with a clear commitment to supplying customers with spare parts quickly and reliably.
But the reality on the warehouse floor looked different.

With many machines highly customized and no dedicated spare parts planning team in place, procurement decisions were based on experience, gut feeling, and flat-rate safety stock buffers.

The result: stockouts on fast-moving parts and overstocked shelves on slow-moving ones. Confidence in the planning process was low.

Key pain points before PartsOS:

  • No data-driven basis for ordering decisions
  • High manual effort in spare parts procurement
  • Critical part shortages despite high inventory costs
  • No dedicated planning team, disposition was handled as a side task

Our Approach

Under the leadership of Michel Ahring, Head of Division Service, Hymmen decided to shift to data-driven spare parts planning.

PartsOS Planning was connected directly to the existing ProAlpha ERP system, no complex IT project required. Within just a few days, PartsOS was analyzing historical demand data and automatically generating order recommendations, including for parts that were frequently sold but not held in stock. Critical stockouts could be prevented from day one.

Fully Autonomous Agent Mode: Planning Without a Planning Team
Since Hymmen has no dedicated planning team, PartsOS runs in Agent Mode: the system acts as an autonomous AI agent that independently initiates planning tasks, sends automated reminders via email and app, and ensures no critical action falls through the cracks.
While PartsOS functions as an AI co-pilot for other customers, where the planning team reviews and approves suggestions. Hymmen operates in fully autonomous mode. Planning runs continuously, without any manual intervention.

The Result

Just weeks after, the results were already visible:

  • Manual effort in the spare parts process: −80%
  • Inventory levels: −20%
  • Forecast accuracy: +40%
  • Parts availability: +20%

Critical stockouts are a thing of the past. Processes are fully automated, and confidence in data-driven decision-making is now at an all-time high.

“Our goal was to be a leader in service. With PartsCloud, we have finally achieved that: data-driven confidence in spare parts planning. What was once reactive and manual is now proactive, automated, and fully under control.”

FAQs

  • What is PartsOS Planning?

PartsOS Planning is an AI-based planning agent for spare parts teams in mechanical and plant engineering. The system analyzes historical demand data, generates automated order recommendations, and can be connected to existing ERP systems such as SAP, ProAlpha, or ABAS, without requiring an IT project.

  • How long does the ERP integration with ProAlpha take?

The integration with ProAlpha typically takes just a few days and requires no complex IT project. At Hymmen, the system was up and running productively shortly after go-live.

  • What is the difference between Co-Pilot and Agent Mode?

In Co-Pilot Mode, the planning team reviews AI suggestions and manually approves them. In Agent Mode, PartsOS operates fully autonomously, it plans, orders, and sends reminders without any intervention from a planning team. Hymmen uses the fully autonomous Agent Mode.

  • Which companies is PartsOS designed for?

PartsOS is built for mechanical engineering companies in the DACH region with spare parts revenue of €10M or more, who are currently planning with Excel or standard ERP tools and have no dedicated planning solution in place.

  • What results are realistic?

At Hymmen, 80% less manual effort and 40% higher forecast accuracy were achieved within just a few weeks. Exact results depend on the starting point, all customers receive an individual potential analysis before getting started.
